Speed to lead: why the first five minutes decide whether an enquiry becomes a customer
Most businesses count their leads. Almost none measure how long those leads wait for a reply — and that one number decides how many become customers.
Ask a business owner how many leads they got last month and they’ll usually know. Ask how long those leads waited for a first reply, and the room goes quiet.
That silence is expensive. The time between an enquiry and your first response is one of the strongest predictors of whether that enquiry turns into a customer — and it’s one of the easiest to fix.
What the research says
A widely cited study published in Harvard Business Review in 2011, “The Short Life of Online Sales Leads”, audited how quickly thousands of companies responded to web enquiries. It found that companies which contacted a lead within an hour were nearly seven times as likely to qualify that lead as those that waited longer — and far more likely than those that took a day or more.
The exact numbers will differ for your business. The direction won’t. Interest fades fast, and the first business to reply sets the terms of the conversation.
Why speed matters even more in India
- Buyers enquire in batches. Someone looking for a solar system, a flat or a coaching class usually contacts several businesses in one sitting.
- WhatsApp is the default. People expect a reply in minutes because that’s how they talk to everyone else.
- Enquiries arrive after hours. Evenings and Sundays are when families discuss big purchases — exactly when most offices are closed.
Put those together and the pattern is clear: the business that replies first, clearly and politely, gets the conversation. Everyone else is competing for what’s left.
Measure your own response time this week
You don’t need software to start. Try this:
- Fill in your own website form at 8 pm on a weekday. Note when someone replies.
- Send a WhatsApp enquiry to your business number on a Sunday morning.
- Pick ten leads from last week and check the time between the enquiry and the first call.
If the answer is “the next morning” or “I’m not sure”, you’ve found your biggest growth opportunity — and it didn’t cost a rupee of ad spend to find it.
Five ways to reply in under five minutes
1. An instant WhatsApp reply to every enquiry
The first message doesn’t need to close the sale. It needs to acknowledge the enquiry, set expectations and ask one or two useful questions. Done automatically, it goes out in seconds — day or night.
2. Clear ownership
Every lead needs one named person responsible for it. When a lead belongs to “the team”, it belongs to nobody.
3. Assignment rules
Decide in advance who gets which lead — by area, product or round-robin — so nobody has to decide in the moment.
4. Missed-call callbacks
If a call goes unanswered, the caller gets a WhatsApp message immediately and a callback is scheduled.
5. Alerts that reach a phone
A lead that arrives in an email inbox nobody checks might as well not have arrived. Alerts should go where your team already looks.
What to say in the first message
Keep it short, human and useful. For example:
Namaste Rohit ji, thank you for your enquiry about rooftop solar. I’m Amit from ABC Solar. To suggest the right system, could you share your average monthly electricity bill and your area? I’ll call you within the hour to explain the options.
It acknowledges the person, gives a name, asks for the two things that matter most and sets a clear next step.
Speed gets the conversation. Follow-up gets the sale.
A fast first reply wins you the chance to talk. What happens next decides the sale. Many buyers need several touches before they commit — a reminder, an answer to an objection, a nudge before the offer expires.
A simple sequence — Day 0, 1, 3 and 7 — keeps you in the conversation without being pushy. The key is that it happens every time, not only when someone remembers.
